Privacy Policy

1. Who we are

softseotool ("we," "us") is based at Bairro Nogueira da Silva 79, Braga, Portugal. We are the data controller for the personal data described in this policy. You can reach us at support@softseotool.com for any privacy question or request.

2. What data we collect

• Contact and enquiry data: name, email address, phone number, and the content of any message you send us, when you use the contact form.
• Order and billing data: name, email, phone, billing address, and — if you provide it — company name and VAT/NIF number, when you place an order through the cart and checkout.
• Technical and usage data: pages visited, approximate location (country/region), device type and referrer, collected through Google Analytics 4 — only if you have given consent via the cookie banner. If you decline or ignore the banner, this data is not collected.

We do not collect payment card data. The checkout on this site uses a demonstration payment flow and does not process real payments or store card details.

3. Why we collect it and our legal basis

• To respond to an enquiry you send us — legitimate interest in answering questions you've asked us.
• To process and deliver an order you place — performance of a contract with you.
• To understand how the site is used and improve it — consent, via Google Analytics 4, only after you opt in.
• To meet legal and accounting obligations (such as invoicing records) — legal obligation.

4. How long we keep it

Enquiry data is kept for as long as needed to respond to you, and deleted afterwards unless a contract follows. Order and billing data connected to an invoice is kept for the period required under Portuguese commercial and tax law. Analytics data collected via GA4 is retained according to Google's standard retention settings and is only collected once you've consented.

5. Who we share it with

We do not sell personal data. We share data only where necessary to deliver the service:

• Google (Google Analytics 4) — only if you've consented to analytics cookies. Data may be processed outside the EU/EEA under Google's standard contractual clauses.
• A payment processor, if and when real payments are enabled on this site (currently, the checkout is a demonstration flow only and no payment processor receives your data).
• Where required by law, to a competent authority.

6. Cookies

This site uses cookies. Essential cookies run the site (cart, language preference, your cookie choice); non-essential cookies (Google Analytics 4) load only after you opt in. Full detail, including how to change your choice at any time, is in our Cookie Policy.

7. Your rights

Under the GDPR, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request erasure; restrict or object to processing; request data portability; and withdraw consent at any time (which does not affect processing carried out before withdrawal). You also have the right to lodge a complaint with the Comissão Nacional de Proteção de Dados (CNPD), the Portuguese data protection authority.

8. International transfers

Where data is processed by a provider located outside the European Economic Area (for example, Google, for Analytics — only with consent), the transfer is covered by that provider's standard contractual clauses or an equivalent safeguard recognised under the GDPR.

9. Security

We apply reasonable technical and organisational measures to protect the personal data we hold, appropriate to its sensitivity and the nature of our business.

10. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the most recent version. Material changes will be reflected here before they take effect.
